Privacy policy

How International Car Movements collects, uses and protects your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Last updated: 2026-10-16

Who we are

International Car Movements (“ICM”, “we”, “us” or “our”) is a UK-based specialist vehicle shipping business. Our registered office is CRG House, Cobden Street, Salford, Greater Manchester M6 6NA.

International Car Movements is a trading name of Manchester Car Movements Limited, registered in England and Wales under company number 11311247.

For the purposes of UK data protection law, ICM is the data controller for the personal data we collect through this website, through quote enquiries and through the operational delivery of our vehicle transport services.

If you have any questions about this policy or about how we handle your data, you can contact us using the details at the end of this page.

Data we collect

We only collect personal data we genuinely need to quote for, arrange or deliver a shipment, or to keep the website running and reasonably secure.

Contact form and quote enquiries

When you request a quote or send us an enquiry, we collect the information you choose to provide. This typically includes:

  • Your name
  • Your email address
  • Your telephone number
  • The vehicle being shipped (marque, model, year)
  • Collection and delivery addresses
  • Your preferred shipping dates
  • Any additional notes or special requirements you provide

Shipment data

When you become a client, we additionally process the operational data needed to complete the shipment: vehicle registration, VIN, vehicle valuation for insurance, identity documents required by customs and any supporting paperwork.

Server logs

Our hosting provider records standard server logs when you visit the site: IP address, browser user agent, referring URL, the pages requested and the time of the request. These logs are used for diagnostics and abuse prevention.

Advertising measurement and enquiry recovery

We do not run browser analytics. With your consent, we load Google Ads measurement to connect advertising visits with successful quote enquiries. Google receives technical information including your IP address, browser, page URL and ad-click identifiers, together with an enquiry reference. We do not send your form fields to Google or use this tag for personalised advertising. You can decline or withdraw consent through our cookies page.

If an enquiry notification email fails to send, we save the enquiry in private storage on our hosting server. This includes your email address and the other details you entered, together with its reference and the reason delivery failed, so we can recover the enquiry and respond to you. These records are not publicly accessible and are held under the same terms as the rest of your enquiry data set out below.

Legal basis for processing

Under UK GDPR, we rely on the following lawful bases to process your personal data:

  • Contract performance — to provide a quote, arrange and deliver your shipment, invoice you and handle customer service.
  • Legitimate interest — to operate and secure the website, prevent fraud and abuse, keep server logs for diagnostic purposes and respond to enquiries.
  • Consent — where you give it for Google Ads measurement. Declining or withdrawing it does not prevent you from requesting a quote.
  • Legal obligation — to retain financial and customs records for the periods required by HMRC and other UK authorities.

Data sharing

We do not sell your personal data. We share data with service providers to run the website and handle your enquiry, and with Google for advertising measurement only with your consent:

  • Resend — to send transactional emails (quote confirmations, shipment updates).
  • Google — optional advertising measurement as described above. See Google’s privacy policy for its processing and international transfers.
  • Customs brokers and port agents — only once a shipment has been signed off, and only the details required for clearance (vehicle, owner identity, destination).
  • Insurers — in the event of a claim, and only the data relevant to that claim.
  • Hosting and infrastructure providers — to operate the website and store records securely.
  • Professional advisers — accountants and legal advisers under their own confidentiality obligations.
  • Law enforcement and regulators — only where we are legally required to do so.

Some of these providers may process data outside the UK. Where that is the case, we rely on UK adequacy regulations, the UK International Data Transfer Agreement (IDTA) or the UK addendum to the EU Standard Contractual Clauses to protect that transfer.

How long we keep your data

  • Quote enquiries — 3 years from the date of the last contact, then deleted.
  • Shipment records — 7 years, in line with HMRC record-keeping requirements for international trade and customs declarations.
  • Analytics data — anonymised event data retained for up to 30 days, then aggregated or deleted.
  • Server logs — retained for up to 30 days for diagnostic and security purposes, then deleted.
  • Marketing consents — retained until you withdraw consent, then deleted.

Your rights

Under UK GDPR and the Data Protection Act 2018, you have the following rights in respect of your personal data:

  • Right of access — to ask for a copy of the personal data we hold about you.
  • Right to rectification — to have inaccurate or incomplete data corrected.
  • Right to erasure — to have your data deleted where we no longer need it and there is no overriding legal obligation to retain it.
  • Right to data portability — to receive your data in a structured, commonly used, machine-readable format.
  • Right to restrict processing — to ask us to pause processing of your data in certain circumstances.
  • Right to object — to processing based on legitimate interest, including direct marketing.
  • Right to withdraw consent — at any time, where processing is based on consent.

You can exercise any of these rights by emailing us at privacy@internationalcarmovements.com. We will respond within one month.

If you believe we have not handled your data properly, you have the right to lodge a complaint with the Information Commissioner’s Office, the UK supervisory authority for data protection. You can find more information at ico.org.uk/make-a-complaint. We would, however, appreciate the chance to address your concerns directly first.

Cookies

For details of the cookies we set, the legal basis for each and how to withdraw your consent, please see our cookies policy.

Security

We use industry-standard technical and organisational measures to protect personal data: encrypted connections (TLS), access controls, principle-of-least-privilege for staff access, and vetted hosting and infrastructure providers. No system is perfectly secure, but we take reasonable steps to keep your data safe.

Children

Our service is offered to adults arranging vehicle shipments. We do not knowingly collect personal data from anyone under the age of 18. If you believe a child has provided us with personal data, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The “last updated” date at the top of this page shows when it was last revised. If we make significant changes, we will draw your attention to them.
